G.B. PROPERTY MANAGEMENT AND LETTINGS (hereinafter referred to as “The Company”) will take steps to promote and protect the interest of the Landlord in the property to be let, all lettings are to be made in accordance with the Landlords instructions to The Company. All viewings will be accompanied.
It is the Landlords responsibility to ensure that the contents left at the property and the structure of the property are fully insured and to inform any Mortgagee of the property of the proposed letting and to obtain the Mortgage providers prior approval to the particular type of letting, ensuring that all requirements of the Mortgagee have been complied with before any letting takes place. The Company requests a copy of the permission given to ensure compliance with the terms set out by the Mortgagee.
The Landlord may instruct The Company to use his Solicitor for the preparation of all legal documentation in respect of the proposed Tenancy Agreement and subsequent costs will be borne by the Landlord. Alternatively The Company is able to prepare the standard Tenancy Agreement documentation in compliance with the Landlord’s instruction. The Company will sign the Tenancy Agreement on behalf of the Landlord.
It is the Landlord's responsibility to ensure that all furniture included or which may become included within the letting complies with all current and future Fire Resistance Regulations contained in Regulation 14 of the 1988 Fire and Furnishing Regulations Act also the Landlord must ensure the electrical installation at the property complies with Electrical Safety Regulations 1994. It is the Landlord’s responsibility to ensure all gas appliances are fitted and serviced in accordance with the Gas Safety Regulations 1994. The Company is able to provide information and assistance with these matters.
The Company will take no responsibility for any default by the tenant for non-payment of rent or any action that contravenes the terms of the tenancy agreement, and will not accept any costs in cases of removing the tenant or tenant’s possessions from the property. The Company can accept no responsibility or liability in respect of any action, damage or accident that may be related to the property, tenants, invitees or any other person or animal. The Company is able to provide information in respect of various insurance packages in relation to any of the aforementioned issues.
The Company does not become involved with any tax payments to the Inland Revenue, except in the case of Non-Resident Landlords where no exemption forms are in existence.
Here at GB Property Management and Lettings, our policy is to meet the requirements of the property owner by offering a wide range of service's as listed below:-
FULL LETTING SERVICE
Is provided by The Company, which includes an initial visit taking all relevant details for letting in accordance with the Landlords instructions and requirements. The service provided includes mailing to all suitable registered applicants, advertising the property in the local newspapers and on our website, finding a suitable tenant, actioning viewings, taking financial reference and character references and collecting a holding fee. After all appropriate documentation has been signed and the rent, damage deposit and the tenant’s share of administration costs have been collected, a statement of account will be issued and funds credited to the Landlord. It will be the Landlord's responsibility to register tenants with the relevant untilities.
PROPERTY MANAGEMENT SERVICE
As stated in the Full Letting Service for finding tenants and actioning references etc The Company also provides the following Property Management Service for you and your property.
1. Collection of a damage deposit equivalent to one month's rent which will be held by a nominated scheme provider. The Deposit is returnable at the end of the Tenancy Agreement to the tenant provided that the Tenancy Agreement terms and conditions are observed and the property is left in satisfactory condition with fair wear and tear taken into consideration. The Company carry out the outgoing inspection of the property, if the condition of the property is not to a satisfactory standard, The Company will action works, to return the property to its original standard subject to wear and tear and costs will be deducted from the tenant’s deposit. In the case of a dispute where the matter is referred to The Chartered Institute of Arbitrators and additional fee may be charged for administration services.
2. A monthly statement of account will be issued to the Landlord and funds credited as instructed.
3. With tenants moving into the property The Company will require an inventory/schedule to be actioned. This can be dealt with by the Landlord or The Company. The cost for the preparation of an inventory/schedule will be calculated according to the size and the contents of property. Where the property is managed by the Company throughout the term of the Tenancy, there will be no charge for checking the final outgoing inventory/schedule.
4. The Company will arrange, as agents on behalf of the Landlord, to carry out any essential repairs to the property in a case of emergency. The Company offer an extensive on call service for tenants to cover emergencies, which may occur at the property. The Company either from information received from the tenant or by routine inspection of the property will arrange for repair/maintenance works to be carried out and payment for necessary works will be deducted from the rental collected. Receipted contractors invoices will be provided for Landlords records.
5. The Company will keep a watching brief on the property and internal inspections will be carried out at their discretion, normally every twelve to sixteen weeks. Should the Landlord require more frequent inspections, The Company reserves the right to charge separately at a cost of £30.00plus VAT per extra visit.
6. As your Agent The Company would organise Landlord Safety Service on all gas appliances, chimney to be swept if applicable and the servicing of all other necessary items within the property.
Additional service for Management Landlords
An Annual Rental Statement for tax purposes can be provided if required at a fee of £40.00plus VAT per property.
FULL LETTING SERVICE; RENTAL COLLECTION
As stated in the Full Letting Service for finding tenants and actioning references etc The Company also provides the following Rental Collection Service for you and your property.
1) The Company will collect the rental under the same conditions as set out previously in these terms.
2) A monthly statement of account will be issued to the Landlord and funds credited as instructed.
REFERRAL
The Company can provide either of the following service’s.
1) Advertise your property, introduce suitable tenants to you, after which you will carry out all viewings and action your own referencing.
2) Where you have found your own tenant, The Company would obtain a financial reference, character references, collect a holding fee and action administration of the Tenancy Agreement. After all appropriate documentation has been signed and the rent, damage deposit and the tenant’s share of the Tenancy Agreement administration has been collected, a statement of account will be issued and funds credited to the Landlord.
A PROPERTY CARE SERVICE
The Company will visit empty properties not intended for tenant occupation. The frequency of visits can be individually catered to meet your needs, however, the responsibilities and liabilities aforementioned still stand.
